Event Registration Legal Disclaimer – Limitation of Liability & Media Release

VANTONIGHT acts solely as a digital platform and marketing support provider for the promotion and registration of the event. Its involvement is strictly limited to providing website registration services, marketing support, promotional activities, and content production.

VANTONIGHT does not organize, manage, or control the event’s operations, logistics, venue, staffing, security, or any on-site activities.

By registering for and/or attending the event, all attendees, participants, sponsors, and third parties acknowledge and agree that:

1. Third-Party Responsibility

• The event is independently organized and operated by third-party entities.

• VANTONIGHT has no responsibility or control over the event’s execution, safety measures, venue conditions, or compliance with applicable laws and regulations.

• Any risks associated with attendance, including but not limited to personal injury, property damage, loss, delays, cancellations, or unforeseen incidents, are solely the responsibility of the event organizers and/or venue operators.

2. Limitation of Liability

To the fullest extent permitted by applicable laws in British Columbia, Canada:

VANTONIGHT, its owners, directors, employees, contractors, affiliates, and representatives shall not be held liable for any direct, indirect, incidental, consequential, or special damages, including but not limited to injuries, losses, claims, liabilities, or expenses arising from or related to:

• The organization, operation, or execution of the event

• The conduct or actions of event organizers, vendors, sponsors, or attendees

• Any third-party services, products, or facilities involved in the event

• Any accidents, incidents, or damages occurring before, during, or after the event

All claims, disputes, or liabilities must be directed exclusively to the event organizers, venue operators, or responsible third parties.

3. Media Release & Authorization

By registering for and/or attending the event, attendees grant VANTONIGHT and its partners the irrevocable right and permission to capture, record, photograph, and film their image, likeness, voice, and appearance during the event.

Such materials may be used for:

• Security and safety purposes

• Promotional and marketing campaigns

• Commercial use across digital, print, and media platforms

• Content creation, advertising, and public relations

This authorization is granted on a worldwide, royalty-free, perpetual basis without compensation.

If an attendee does not wish to be photographed or recorded, they must explicitly notify event staff on-site prior to or upon arrival, and reasonable efforts will be made to accommodate such requests; however, VANTONIGHT does not guarantee complete exclusion from incidental or background capture in public event settings.

By registering for or attending the event through VANTONIGHT’s platform, users expressly waive any claims against VANTONIGHT and agree to release and hold harmless VANTONIGHT from any and all liabilities arising from their participation.
